Course 106: Meeting Fundamentals Other than the annual general meeting, owners’ meetings are not held by all condominium corporations. However, they are still important. In a healthy condominium corporation, communication between the board of directors and the condominium owners is a top priority. One of the best methods of effective communication is through periodic meetings. Probably the most common meeting of owners is the annual general meeting, which is mandated by the Act. However, there are other good reasons for a board to call a meeting of owners, such as when large projects are contemplated or changes that will run smoother with owner input (interior redesign, for example). Many boards call an owners’ meeting to present and discuss the annual budget. And of course, there are meetings that may be requisitioned by owners. This chapter will look at the steps required to call and hold a meeting of owners and then suggest some best practices to make those meetings interesting, informative, and effective. The Act specifies timelines for calling meetings and also the forms that must be used when calling an owners’ meeting. This chapter will also describe what makes a quorum and how to handle all types of voting including proxies. Finally, this course will suggest ways to make condominium meetings run smoothly and to ensure that owners’ voices are heard. While meetings can convey a great deal of information, they are not meant to take the place of timely notices, certificates, emails, newsletters, websites, or any other form of communication. Aji’s passion for the condominium industry extends to his past participation as a panel speaker at the Association of Condominium Managers of Ontario (ACMO) conferences, and consistently serving as a Director on several condominium boards since 2003. Aji is also a travel enthusiast and with a strong passion for music, international architecture and world cuisine.
